“The Day of the Event a Night Mare”
It was Wednesday morning, I walked to the hair dresser while everything was getting sett up and ready for the magazine anniversary that night at the venue. I had all my team working on the decoration, details, sponsors, food , drinks. etc. when I thought everything was ready I received a phone call and the event planner was telling me “ we have a problem ,”- I asked- “what happened? She said we are working on the back drop and the logo is not visible, we need 3 uplighting. I said- ok ask the light and lounge sponsor, they should have some- she said no I have someone on the line that they can bring it and charge $30 per light plus $30 delivery .
In my mind I was thinking WTH? Why do I have sponsors and an event producer if they going have this kind of stress for me at th
e end? I was trying to figure out why she didn’t asked the sponsor and made me pay more money when we were already short on budget. I was at the hair salon waiting for the hairdresser to call my name to fix my hair and make up. I was desperate to go to the venue and see what was going on.
I spoke to the hairdresser and explain what was happening that I had to leave other wise the anniversary event was not going to happened the way it was planned. Hair dresser told me ok no worries I will do your hair next. There was a lady next to me and she was telling me “I was here before you, so i’m next”. I said- sorry I had an emergency that I have to go and take care of. The lady was upset and told me: I don’t know who you are but just because you know the owner doesn’t mean you have to cut the line. I said im sorry I am not trying to cut the line I just need to go.
I received anther call my team was asking me what should we do ? Should we order the lights? I said ok go ahead. I could not go and solve it because of the distance and raffia I won’t never make it on time. I was mad already since she was making me spent more money for no reason. Finally they called my name, I finished with hair and make up , the lady still there at the hair salon talking about me. I overheard someone explaining to her – she is having a very important event today and she is having trouble. She really needs to go.
I went to the venue to verify if all was sett up, it was 3:30 pm lights came in and everything was looking nice for the evening. The event planner was glad everything was set up when I arrived. She looked nervous. Then I though OMG, she was only making sure everything looked perfect so when I came were a full surprise and the wow factor wasn’t half way. I felt bad because I was kind of blaming her for making me spend more and she was only trying to help.
I had some snacks and go to the dress designer to try on my dress. I loved it. It has my favorite color rose gold. Got to the event at 6:00 pm everything looked as planed, backdrop , lights, food, cake, sound check it was the best experience looking how everything work out after all.
The event started at 8:00 clients and special guests showed up very nice dressed and everyone complemented my dress. That was another head ache my dress, I did not see my dress until the day of the event, designer won’t show me it, they also want to surprise me. I don’t understand why they all are trying to do that. I like to see everything is going the way I like and the way is suppose to be. I think either am too stock up or they are too pleasant, I don’t know, I just know the days I have events are very stressful, at least for me. At the end everything looked nice and everyone felt happy or al least 99.9 %.
It was 1 client that got upset because we didn’t mention his company, ups, he was so mad that he wanted to leave the party. I was on the back drop taking pictures with everyone on the line when one of the team interrupted me and told me what was happening. My face changed automatically and left the line waiting. I couldn’t let this client go upset. I went to his table and asked what happened he started explain and on my head I was thinking: “are you for real are making this show because we didn’t mention your name? really?” Omg I felt awful. Why can’t they just wait until the next day and tell me then. As much as I planned ahead to avoid bad surprises something this small ruined the rest of the evening. Just a few noticed it but I was mad trying to explain something that did not need to be happening or explained.
Well, they left and everyone else stayed and congratulated us for the spectacular night. I kept thinking of everything happened the day and how I boded my team to make everything perfect, to realize that even if you make sure everything is ready something can go wrong and that ok, we just have to let it go and move on.
